JOB DETAILS:
Responsibilities.
1. Ensure that the tender documents are completed and accurate
2. Compilation of tender documents i.e., the ability to draft plans, policies, and procedures and ensure that all mandatory documents are updated.
3. Attend tender briefing meetings.
4. Maintain accurate records and electronic copies of completed documents.
5. Ability to process quotations, and tender extensions.
6. Searching for relevant tenders on various platforms.
7. Coordination, compilation, and completion of tender documents.
8. Ensure the bid process is followed.
9. Coordinate collection of tender documents and ensure submissions are made on time.
10. Follow up on tenders submitted and maintain a database.
11. Update all spreadsheets, databases, and records.
12. Organize and schedule meetings.
13. Develop/maintain a filing system.
14. Responding to emails.
Qualifications and Skills
1. Bachelor’s Degree in a Business-related field.
2. Minimum of 4-5 years of experience in a similar position.
3. Good understanding of the Tender Bidding/ Project Management Process.
4. Understanding of contract terminology, competitive bids, purchase orders, and vendor relationship management.
5. Prior experience attending tender briefing meetings.
6. Great presentation skills.
7. Minute taking in management-level meetings.
8. Proficiency in Microsoft Office Suite.
9. Professional attitude and appearance.
10. Solid written and verbal communication skills
11. Ability to be resourceful and proactive when issues arise.
12. Excellent organizational skills.
13. Multitasking and time-management skills, with the ability to prioritize tasks.
14. Customer service attitude.
15. Hands-on experience with office equipment (e.g. Scanners and printers).
